Privacy Policy

Last Updated: February 2025

At quoravixent, we're serious about protecting your personal information. This policy explains what data we collect, why we need it, and what we do with it. We've written this in plain English because legal jargon helps no one.

Who We Are

quoravixent operates from Shop 407, Castle Towers, 6/14 Old Castle Hill Rd, Castle Hill NSW 2154, Australia. We provide financial management tools and educational resources for small businesses across Australia. When we say "we," "us," or "our" in this document, we're talking about quoravixent and our team.

Under Australian privacy law (specifically the Privacy Act 1988), we're required to handle your personal information responsibly. This policy meets those requirements and then some.

Information We Collect

We only collect information that actually helps us serve you better. Here's what that looks like in practice:

Information You Give Us Directly

  • Contact details when you reach out or create an account (name, email, phone number, business address)
  • Business information you share when using our tools (company name, ABN, industry type)
  • Payment information when you subscribe to our services (though card details go straight to our payment processor)
  • Communication preferences and any feedback you send our way

Information We Collect Automatically

When you visit our website or use our services, some technical information gets collected automatically:

  • IP address and general location (city level, not your exact address)
  • Browser type and device information
  • Pages you visit and how long you spend on them
  • Referral sources (how you found us)
  • Technical errors or issues you encounter

Note: We don't use facial recognition, we don't track you across other websites, and we certainly don't sell your data to third parties. That's not how we operate.

How We Use Your Information

Everything we collect has a purpose. We're not gathering data just to have it sit in a database somewhere.

Purpose What This Means
Service Delivery Providing access to our financial management tools, processing your requests, and keeping your account running smoothly
Communication Sending important updates about your account, responding to inquiries, and sharing educational content you've signed up for
Improvement Understanding how people use our platform so we can fix bugs, add features that actually matter, and improve overall experience
Security Protecting your account from unauthorized access, detecting suspicious activity, and preventing fraud
Legal Compliance Meeting our obligations under Australian financial services regulations and tax laws

We process your personal information based on several legal grounds under Australian privacy law: with your consent, to fulfill our contract with you, to comply with legal obligations, and when we have legitimate business interests that don't override your privacy rights.

Who We Share Information With

We keep your information close to the chest, but there are a few situations where we need to share it:

Service Providers

We work with trusted companies that help us run our business. These include our hosting provider, payment processor, email service, and customer support platform. All of these partners are contractually bound to protect your information and can only use it for the specific services they provide to us.

Legal Requirements

If we're legally required to disclose information (like in response to a valid court order or government request), we will. But we'll always review such requests carefully and push back if they seem overly broad.

Business Transfers

In the unlikely event that quoravixent is acquired or merges with another company, your information would be transferred as part of that transaction. We'd notify you beforehand and ensure the new entity respects this privacy policy.

We do not sell, rent, or trade your personal information to marketers or data brokers. Period.

Your Privacy Rights

Under the Australian Privacy Act and Australian Consumer Law, you have significant control over your personal information. Here's what you can do:

Access Your Data

Request a copy of all personal information we hold about you. We'll provide this in a readable format within 30 days.

Correct Inaccuracies

If something we have on file is wrong or outdated, you can ask us to fix it. We'll update it promptly.

Delete Your Information

Request deletion of your personal data, subject to any legal obligations we have to retain certain records.

Restrict Processing

Ask us to limit how we use your information in certain circumstances while maintaining your account.

Data Portability

Get your data in a machine-readable format that you can transfer to another service provider.

Withdraw Consent

If we're processing data based on your consent, you can withdraw that consent at any time.

To exercise any of these rights, contact us at support@quoravixent.com. We'll verify your identity and respond within 30 days. There's no fee for reasonable requests, though we might charge for excessive or repetitive requests.

Making a Complaint: If you're not satisfied with how we've handled your personal information, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au or by calling 1300 363 992.

How We Protect Your Information

Security isn't something we take lightly. We use industry-standard measures to protect your data:

  • All data transmission is encrypted using TLS 1.3 protocol
  • Passwords are hashed using bcrypt with salt
  • Our servers are hosted in Australian data centers with physical security controls
  • Access to personal information is restricted to employees who need it for their job
  • We conduct regular security audits and vulnerability assessments
  • All staff receive privacy and security training annually

That said, no system is completely bulletproof. While we do everything reasonable to protect your information, we can't guarantee absolute security. If we experience a data breach that's likely to result in serious harm, we'll notify you and the OAIC as required by law.

Data Retention

We don't keep your information longer than necessary. Here's our general approach:

  • Active account information: kept while your account is active and for 7 years after closure (tax record requirements)
  • Transaction records: retained for 7 years as required by Australian tax law
  • Marketing communications: kept until you unsubscribe, then deleted within 30 days
  • Support inquiries: archived after resolution and deleted after 3 years
  • Website analytics: aggregated data kept indefinitely, but individual identifiers removed after 26 months

When we delete data, we make sure it's gone from our active systems, backups, and archives. Some residual copies might exist in backup systems for up to 90 days before being completely purged.

Cookies and Tracking

Our website uses cookies to function properly and improve your experience. Here's the breakdown:

Essential Cookies

These are necessary for the website to work. They handle things like keeping you logged in, remembering your preferences, and maintaining security. You can't opt out of these without breaking core functionality.

Analytics Cookies

We use these to understand how visitors use our site so we can make improvements. The data is anonymized and we don't use it to identify individuals. You can opt out through your browser settings.

We don't use advertising cookies or third-party tracking pixels. Your browser settings give you control over cookies – most browsers let you block or delete them, though this might affect how our site works.

Children's Privacy

Our services are designed for business owners and aren't intended for anyone under 18. We don't knowingly collect information from children. If we discover we've inadvertently collected data from someone under 18, we'll delete it promptly.

International Data Transfers

We primarily store and process data within Australia. However, some of our service providers operate internationally, which means your information might be processed in other countries (particularly the United States for cloud hosting services).

When we transfer data internationally, we ensure appropriate safeguards are in place through standard contractual clauses and by working only with providers who maintain strong data protection standards comparable to Australian requirements.

Changes to This Policy

We'll update this policy occasionally to reflect changes in our practices, technology, or legal requirements. When we make significant changes, we'll notify active users by email and post a notice on our website.

The "Last Updated" date at the top tells you when the most recent changes were made. We encourage you to review this policy periodically, though we'll always alert you to material changes that affect your rights.
